Watch this video for tips on how to a free Gantt Chart Template in Microsoft Excel. In this video, we are going to show you how to access the template for either the desktop version of Microsoft Excel or the free online version of Microsoft Excel. Next, we will give you a tour of the template. Hopefully this Gantt Chart template will give you a way to use Microsoft Excel similarly to the way you would use Microsoft Project.

107.52 -> I can see that I have a plan start, a plan duration,

117.93 -> Now what do each of these numbers mean?
119.46 -> If you look over here, you can see
121.26 -> that this is a generic title right here for periods.
124.35 -> And this is up to you to decide
126.36 -> if you want your time periods to be in hours or days
130.29 -> or weeks or months depending on how big your project is.
134.97 -> So let's play around with a few of these numbers
136.53 -> and see what happens.
138.24 -> So on this first activity,
140.58 -> I have a plan start and an actual start
143.13 -> that coincide with each other.
145.41 -> So I actually am starting this task
147.39 -> on the day that I planned to start it on.
150.51 -> I had planned for five days of the duration of it,
152.94 -> but it actually only took four days,
155.82 -> and right now I'm only at a 25% completion rate.
159.9 -> So let's think about what that means.
162.36 -> It means I have done one of these four actual days of work.
168.42 -> And because of that, this will be shaded dark purple
171.24 -> because this means percent actually complete.
174.87 -> So if I go over here to my percent complete
176.82 -> and I make that 50,
178.92 -> you can see that I now have two days completed
182.52 -> of my actual duration 'cause I'm 50% complete.
185.52 -> So if I change this to 75,
187.41 -> I will now see that it's 3.
188.82 -> And if I change this to 100,
190.95 -> all four days have now been color coded,
193.38 -> and I will see that this task is actually finished
196.92 -> Just by quickly looking at this graph over here.
200.82 -> Now let's look at Activity 05 over here.
203.79 -> I plan to start it on the same time period.
206.94 -> I thought it was going to take two days,
208.71 -> but it actually took eight,
211.17 -> and I have this at an 85% complete.
214.53 -> So let's see what these color codes mean up here.
217.89 -> So I can see that of these eight time periods
220.56 -> that I have color coded right here, two of them,
224.76 -> being these two days right here that I had planned on,
228.42 -> are my percent complete.
230.4 -> But what are these three orange ones?
232.08 -> I'm gonna scroll to the right a little bit
234.54 -> and you can see that these are my percent complete
236.79 -> beyond my plan.
239.01 -> And then I have some actual complete right here
242.94 -> that I have not gotten to yet.
244.53 -> But if I were to change this to 90,
247.2 -> you can see that I've now filled in another dark orange
250.08 -> that is my percent complete up here beyond my plan.
254.91 -> And if I took this down to 50,
258.067 -> you'll be able to see that I am only half done
260.37 -> and I have half my task to go,
263.4 -> but right here it is in the actual beyond the plan.
267.03 -> So I know that my graph is being changed
270.03 -> based on what percent I have done
272.79 -> and how long my project is actually taking.
275.1 -> So just keep those two variables in mind.
278.52 -> So one final thing you can do on this spreadsheet
281.01 -> is change this period highlight right here.
283.53 -> Right now this is set to 1,
285.42 -> but, say, I were to come here and scroll down and pick 10,
289.83 -> you can see that period 10 has now been highlighted.
292.02 -> And if I scroll down,
293.1 -> I just have changed the background to this beige color
297.12 -> so I can just get a quick visual
299.34 -> of what's happening on period 10,
301.41 -> whether that's hour 10, day 10, month 10.
303.99 -> And if I change that again to, say, 15,
307.47 -> now this column is being highlighted for a quick visual
310.8 -> as to what is going on that week.
314.52 -> So hopefully this gives you a good introduction
317.37 -> to one template that you can use inside of Microsoft Excel
320.64 -> that acts like Microsoft Project.
